Workmates ("we", "us") helps people keep private working notes and connect them to pods that surface insights toward a shared objective. This policy explains what we collect, how we use it, and the choices you have. By using Workmates you agree to this policy.
What we collect
- Account details: your name, email, and your timezone.
- Your content: the scribbles you write, the pods you create (their objective and the recency-weighted memory they build), and the insights pods generate.
- Usage data: basic logs needed to run and secure the service (for example, sign-in events and error logs).
How we use it
To provide the service: store your notes, run pods (folding your scribbles into each pod's recency-weighted memory), surface insights, and deliver heads-ups and results. We also use limited data to keep the service secure and to fix problems.
AI processing
To build a pod's memory and generate insights, the relevant text is sent to our AI provider (Anthropic) through their API. Under Anthropic's commercial API terms, your content is not used to train their models. We send only what a feature needs.
How pods read your scribbles
Your raw scribble is private to you, and other members never see it. When a pod runs, it reads the scribble you connected on the server, folds it into that pod's memory, and shares only the resulting insights with the pod's members. The pod's memory is visible to the pod owner only. You control which scribble, if any, feeds each pod.
Who we share with
We do not sell your data. We share it only with service providers that run Workmates on our behalf: Supabase (database and authentication), Anthropic (AI processing), and, if you enable it, Slack (to deliver notifications to your workspace). Each processes data under its own terms and only to provide its function.
Retention
Scribble writing clears after a pod runs (your titles and sticky notes remain), by design. You can delete a scribble, a pod, or your account at any time; deleting your account removes your content from active use.
Security
Data is encrypted in transit. Access is isolated per user and per pod through database row-level security, and sensitive secrets (such as Slack tokens) are restricted to server-side access only.
Your rights
You can access, export, correct, or delete your data. Email us and we will help. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA.
Children
Workmates is not directed to children under 16, and we do not knowingly collect their data.
Changes
We may update this policy. Material changes will be noted here with a new "last updated" date.
